On the wedding day, the role of a day-of planner is essential in ensuring everything goes off without a hitch. Whether you’re lucky to have a day of coordinator or if your coordinator will be a friend or family member, here’s a step-by-step guide to help manage all the details as you lead the celebration:

Pre-Ceremony Preparations

Early Venue Check

  • Arrive early at the venue to conduct a thorough check. Confirm the setup of decor, seating, and signage is as planned.

Oversee Vendor Arrivals

  • Coordinate with each vendor (caterer, florists, musicians) to ensure timely arrival and setup, addressing any logistical issues on the spot.

Setup Oversight

  • Confirm all vendors (flowers, rentals, caterers) have arrived and setup is proceeding according to plan.

Wedding Party Check-Ins

  • Visit the bridal suite and groom’s area to ensure everyone is on schedule for hair and makeup.
  • Ensure the wedding party arrives on time and help with any last-minute preparations or needs.

Ceremony Area Setup

  • Verify ceremony location setup: chairs, altar, sound system, and any decorative elements.

Emergency Kit

  • Have a wedding emergency kit ready with essentials like safety pins, stain remover, breath mints, and a small sewing kit.

Guest Arrival

  • Confirm all details are set for the ceremony and cocktail reception (at least 45 minutes prior to the ceremony start time. 

Ceremony Coordination

  • Ensure ushers or greeters are welcoming guests and directing them to the correct seating.

Cue the Musician or DJ

  • Ensure that the ceremony music or playlist is ready and cue the musician or DJ according to the schedule.

Coordinate with Officiant, Photographer, Videographer and Wedding Party

  • Confirm that the vendors and the wedding party are ready and in place as guests are seated.

Commence the Ceremony

  • Signal the start of the ceremony and oversee processional cues (flower girl, ring bearer, bridesmaids, bride’s entrance).

Post-Ceremony Arrangements

Transition to Reception

  • Coordinate the transition from ceremony to reception by guiding guests and directing them to cocktail hour if applicable.

Reception Setup Confirmation

  • Double-check the reception area to ensure all is set up correctly: centerpieces, place cards, and table settings.

Manage Post Ceremony Photo Timing

  • Monitor the photography progress following the ceremony. Be sure to communicate to your food and beverage vendors should the couple be running late returning from sunset photos.

Cue Couple & Wedding Party Grand Entrances

  • Coordinate with the wedding party & the entertainment to ensure the introduction flows smoothly and times out with the start of dinner.

Reception Management

Manage the Timeline

  • Maintain the schedule for each event segment, such as the first dance, dinner service, and cake cutting.

Vendor Coordination: Monitor Key Moments

  • Ensure the caterers, photographers, and band/DJ are all aligned with the timeline and ready for each moment.

Cue Reception Events

  • Keep events like grand entrance, first dance, toasts, and cake cutting on time and coordinate with the DJ or band.
  • Coordinate with speakers for scheduled toasts and ensure audio-visual equipment is functioning properly.

Guest Support

  • Be available for guests needing assistance with directions, transportation, or any special requests.

Facilitate Closing and Cleanup

Final Guest Check

  • Assist guests with locating their transportation and answering any questions they may have

Gift and Personal Item Security

  • Ensure gifts and personal items are securely packed and sent with designated individuals.

Assist with Vendor Departure

  • Confirm all vendors pack up and leave according to the schedule, coordinating any final payments if necessary.

Venue Walkthrough

  • Conduct a final check of the venue to ensure nothing is left behind and address any final tasks.

By carefully managing each of these steps, a day-of wedding planner can successfully handle the myriad details that make up a wedding day, ensuring a seamless experience for the couple and their guests.
